“We’re actually managing 30% more projects with the same number of project managers as we were before we implemented Smartsheet.” —Michael Ghrist, IT Account Manager for Commercial Operations Today, teams at Roche are developing and implementing innovative diagnostic systems that help millions of patients all over the world. Yet rapid changes in technology and within the healthcare industry mean that the teams at Roche must also drive innovation in their processes to stay competitive and keep up with demand. An Increasingly Complex ProcessBased in Indianapolis, the Roche Diagnostics Implementation Program office serves the needs of a diverse and expansive customer base in North America. The team realized that in order to best serve their customers, which range from personal physicians to large national laboratories, research institutions and academic centers, they needed to address rapid changes in technology, customer expectations, and economic pressures. Their customers deserve transparency with regard to everything related to diagnostic testing — and they want results and consolidated real-time information delivered more rapidly. The professional services company made its yearly audit planning and scheduling process less time-consuming while improving team communication, collaboration, and process visibility. Professional services powerhouse FGMK had a problem: Dated processes and legacy tools were distracting the team from the work they do best— first-class client service. With over 1,000 audit and financial statement reporting engagements in a year, and tens of thousands of information requests, FGMK was looking for a better way to handle communications and manage administrative requests related to these often manual processes done in a spreadsheet, word document, or an email thread. After running into accountability issues and versioning headaches, the team at FGMK knew there had to be a better way. “We found that teams were spending a lot of time on the administrative part of an audit versus doing the actual client service, doing the actual value-added component that is why they're in the field,” says Michael Fernandez, Director of Quality Control at FGMK. They needed a solution to help free up their employees from this manual, administrative burden by helping to streamline document intake and decrease the back and forth of email conversations. "We just needed to improve our data flow. We needed to improve our collaboration. We needed to improve our communication; internally and externally," says Fernandez. “We viewed Smartsheet as something that could improve our own efficiency and cut out that manual labor-intensive process,” says Fernandez, “we’re able to use the notifications and the quick at-a-glance collaborative nature of the platform to get things done quicker, better, and to re-allocate our resources, too.”

KEXP is a Seattle-based entertainment network with listeners around the world (and even in space!). With 40 seasoned DJs, inventive musicians both indie and established, and a focus on providing an enriching experience as a non-profit, they have a big mission and all the tools to achieve it.
KEXP recognized right away that being “just a radio station” wasn’t going to work long-term in a world of streaming entertainment. As early as 2000 they offered high quality Internet radio, and as a result have grown their listeners by 300% over the last 15 years while other radio stations have dwindled. They built strategic partnerships with organizations like Radio New York to produce shows coast to coast, and more recently have signed a long term agreement with the University of Washington to continue championing artists, serving the public, and furthering the cause of musical arts over the airwaves and online for the foreseeable future. What’s the common thread? KEXP knows how to plan ahead and manage work on the fly. That’s why they choose Smartsheet. South Water Signs manages custom-made signage projects nationwide--a massive exercise in coordination, traditionally managed on paper or with Excel spreadsheets and email. As the company's business grew, it became clear that this manual process wasn’t scalable. That’s when South Water Signs turned to Smartsheet. Customer projects are now streamlined. Sales reps collect all the necessary data – package, type of sign, type of service, etc. – using a web form that feeds into a master sheet of all jobs. A project manager then uses the sheet to keep information like photos, permits, and approvals organized and stored in the context of work timelines. A custom report pulls all the necessary information to create an invoice for works in progress and the report is automatically sent to accounting. It's a seamless and transparent process that delights customers and makes South Water Signs a leader in its industry. SSouth Water Signs, a leading national signage company, uses Smartsheet in all areas of their business.

Located in downtown Portland Oregon, The Edith Green/Wendell Wyatt Federal Building (EGWW) it is to become a flagship building for the federal government. It is comprised of an eighteen-story office tower, which occupies one full city block and two levels of basement and parking areas. Upon its completion in 2013, it will house about 17 different federal agencies.

One of the best ways to spot a productivity killer? Identify a process or communication tactic shoehorned into a tool that wasn’t originally built to address that very problem. One common workplace productivity killer hiding in plain sight is our meeting culture, and the slide decks these meetings are often beholden to. As we’ve morphed slide decks from presentation aids to status documents, increasing numbers of hours are wasted consolidating slide decks and cramming status updates into a static document.
Luckily, work management tools can help address this problem. Case in point: the Services Operations group at Cisco has proven that work management solutions can be a powerfully effective replacement — with game changing results. |
